Many agencies start with one shared spreadsheet for every client's leads. It works for the first few accounts. After that, filters break, columns multiply and nobody is sure which version is current.
What a client pipeline looks like
A pipeline is simply the stages a lead moves through for one client, for example New → Contacted → Qualified → Proposal → Won. Real estate clients might add "Site visit"; a clinic might add "Appointment booked".
Benefits for your agency
- Clear reporting: each client sees their own numbers, in their own language.
- Easier handovers: a new team member can pick up an account without asking where everything is.
- Better conversations: you can show a client where leads get stuck, not just how many arrived.
Start simple
Create one standard pipeline, then adjust stages only where a client's sales process is genuinely different. Consistency across clients is what lets you compare results and spot problems early.
